Firstly, a quick disclaimer: I'm using the term "software" to be able to connect with all generations of clinicians.
When I'm consulting with a private practice I often get the question, "Should we change our software program?" The short answer is, "NO!" In fact, when a practice asks me if they should change anything, my gut response is to go running for the hills.
A well known fact is that people are resistant to change. Yes, even psychologists. Actually, especially psychologists. I worked with a practitioner in QLD who once said to me, "It's funny that we ask our clients to be fluid with change and yet, we as practitioners, stand rigid in our day to day business activities." This my friend, is a true story. I'm going to provide a few helpful tips if you are thinking about changing your program (whether is a paper system, a server system, or an online system).
Be honest with yourself. Change is hard. Moving your system from anything you're currently doing takes dedication and time. If you (and your team) can't commit to this change then do not do it. Expect it to be painful. Understand your full reasons for the transition. Analyse your current system to see if it can be changed to do what you're hoping the new system will do.
Be prepared for different. What you once were able to do, you will no longer be able to do. Even if you can do it, it will likely look different. Pick out what works for you currently, and ensure that the outcome is still possible with the new system. The journey won't be the same, but the end result is worth it.
Give yourself a lot of time. The new system won't be perfect from day one. It will take time to understand the new process, the new features, and the ways your practice can build on the new software. Understand that you have expectations and manage those expectations. It will take you months to iron out what you need to make the transition easier. Be patient.
